How to Record Sessions on Klarify
Klarify gives you five ways to capture your therapy sessions. This guide walks you through each method and helps you troubleshoot common issues.

Before You Start
Before your first recording, do these two things:
- Test your microphone: Click the "Test Microphone" button when setting up a new session. This confirms Klarify can hear you.
- Watch the audio waveforms: During recording, you'll see waveforms on screen. If they move when you speak, audio is being captured. If they stay flat, something is wrong and you should stop immediately to troubleshoot.
Method 1: Record Virtual Sessions
Best for: Zoom, Google Meet, Jane, Owl, Doxy, and other browser-based video platforms.
How to do it:
- Open your video session in your browser
- Click "Record Virtual Session" in Klarify
- Select the specific tab your call is on (or "Entire Screen")
- Check the box for "Share Tab Audio" or "System Audio"
- Click to start recording
Important tips:
- Use Chrome, not Safari. Safari has major limitations with audio recording.
- Use the browser version of Zoom or Teams. See this help article on how to use Zoom on the desktop.
- You must enable "Share Tab Audio" or we will only capture your voice, not your client's.
- Selecting "Window" instead of "Entire Screen" or "Tab" often causes problems.
Common issues:
Problem | Solution |
|---|---|
Can only hear therapist, not client | You didn't enable "Share Tab Audio" or "System Audio" when sharing your screen. Stop and restart, making sure to check that box. |
Recording won't start | Try closing other Klarify tabs. Having multiple tabs open can cause conflicts. |
Audio cuts out randomly | Check your internet connection. Weak WiFi can interrupt recordings. |
Browser won't let me share audio | Check your browser permissions. Go to Settings > Privacy > Microphone and make sure Klarify is allowed. Some browser extensions like ad blockers can also interfere. |
Method 2: Record In-Person Sessions
Best for: Face-to-face sessions in your office.
How to do it:
- Place your phone or laptop on a table between you and your client
- Open Klarify and click "Record In-Person"
- Select your microphone
- Click to start recording
- Keep your device screen ON for the entire session
Important tips:
- Your screen must stay on. This is the most common issue. If your phone screen locks or turns off, the recording stops immediately.
- Before your session, adjust your auto-sleep settings. Set screen timeout to the maximum or "Never."
- On iPhone, stay on the Klarify website. Switching to another app or browser tab stops the recording.
- You can place your phone face down on the table if you're concerned about your client seeing the screen, just keep the screen on.
- Position your device close enough to pick up both your voice and your client's voice clearly.
Common issues:
Problem | Solution |
|---|---|
Recording stopped mid-session | Your screen likely locked or went to sleep. Adjust your auto-sleep settings before your next session. |
Recording stopped when I checked a text | On phones, leaving the Klarify website stops recording. Avoid switching apps during sessions. |
Audio is quiet or hard to hear | Move your device closer to both speakers. Soft-spoken clients may need the device positioned nearer to them. |
Phone call interrupted my recording | Incoming calls will stop your recording. Consider putting your phone on Do Not Disturb mode during sessions. |
"Starting Recording" message is stuck | Exit the recording screen and try again. Repeat until it starts properly. |
Adjusting screen timeout settings:
On iPhone: Settings > Display & Brightness > Auto-Lock > Never
On Android: Settings > Display > Screen timeout > 30 minutes (or maximum available)
On Mac: System Preferences > Battery > Turn display off after > Never
On Windows: Settings > System > Power & sleep > Screen > Never
Method 3: Dictate a Summary
Best for: When clients don't consent to session recording, or when you prefer to summarize verbally after sessions.
How to do it:
- After your session ends, click "Dictate a Summary"
- Speak your session notes into your device
- Klarify transcribes and structures your notes automatically
Tips for good dictation:
- Speak clearly and at a normal pace
- Include the key points you want in your clinical notes
- You can dictate immediately after a session or later in the day
- Works on any device with a microphone
Method 4: Upload a Recording
Best for: When you already have an audio or video file from another source.
How to do it:
- Click "Upload Recording"
- Select your audio or video file
- Klarify processes it and generates your notes
Supported formats: MP3, MP4, WAV, M4A, and most common audio/video formats.
Common issues:
Problem | Solution |
|---|---|
Upload gets stuck or fails | This usually means weak internet connection. Refresh the page and click "Retry Upload" from the same device you started on. |
File won't upload | Check that your file is in a supported format. Very large files may take longer to process. |
Method 5: Upload Text
Best for: When you've already typed notes somewhere else and want Klarify to format them.
How to do it:
- Click "Upload Text"
- Paste your typed notes into the text box
- Klarify transforms them into professional clinical documentation
Recording Phone Calls
Important: You cannot directly record traditional phone calls. iOS and Android block this for privacy reasons.
Workarounds:
- Speaker method: Put your phone on speaker and use a separate device (laptop or second phone) to record the session as an "in-person" recording.
- Switch to video call: Ask clients to call you via Google Meet or Zoom on your computer instead of a regular phone call. Then use the "Record Virtual Session" method.
General Troubleshooting
Before every session:
- Test your microphone using the test button
- Check that your screen won't auto-lock during the session
- Close other Klarify tabs to avoid conflicts
- Make sure you have a stable internet connection
During recording:
- Watch the audio waveforms. They should move when anyone speaks.
- If waveforms are flat, stop immediately. Something is wrong with your audio capture.
- Don't close your laptop screen, this cuts off microphone access.
After recording:
- Wait for the upload to complete before closing your browser
- If upload gets stuck, refresh and click "Retry Upload"
- Processing usually takes a few minutes depending on session length
